Job Summary

The Casual Medical Office Assistant (MOA) supports the smooth operations of the VAHS Primary Care Clinic on an as-needed basis. As a key member of our interdisciplinary team, the MOA serves as the first point of contact for clients and ensures the clinic remains welcoming, safe, and culturally grounded.

The MOA provides administrative and clinical support, helps maintain electronic medical records, and contributes to a team-based approach that centers on trauma-informed and culturally safe care.

This role reports to the Clinic Operations Supervisor and is supported by the Lead MOA.


Key Responsibilities

Reception & Client Support

  • Greet and check in clients with warmth and professionalism

  • Register new clients, book appointments, and follow up on referrals and diagnostic test requests

  • Answer phone calls, direct inquiries, and provide general information about clinic services

  • Support clients in navigating services, including transportation and outreach referrals

  • Ensure the clinic environment remains clean, comfortable, and culturally safe

Administrative Tasks

  • Maintain electronic medical records (OSCAR), including scanning, filing, and document linking

  • Process incoming and outgoing mail, faxes, records, and lab results

  • Organize and restock exam rooms and office supply areas

  • Monitor medication and supply expiry dates

Clinical Support

  • Assist with urine testing and recording vitals (e.g. blood pressure, height, weight)

  • Ensure lab specimens are labeled and sent correctly

  • Disinfect exam rooms and support clinic sterilization procedures

General

  • Support intake worker and other team members as needed

  • Perform other duties as required by clinic operations


Qualifications

  • Completion of a Medical Office Assistant program

  • Minimum 2 years experience in a community-based primary care or clinic setting preferred

  • Excellent communication, organization, and computer skills

  • Strong interpersonal and customer service skills

  • Knowledge of medical terminology and Indigenous health contexts

  • Ability to multi-task in a fast-paced environment

  • Comfortable working independently and collaboratively


Assets

  • Familiarity with the OSCAR electronic medical record system

  • Experience working with Indigenous and/or inner-city populations

  • Indigenous cultural safety training

  • Experience with urine testing and taking vitals
